Who we are

Place Newsroom is provided and operated by Bird Global Advisory Ltd ("Bird", "we", "us", "our"), a company registered in England and Wales under company number 15716052, with its registered office at 2 Crossways Business Centre, Bicester Road, Kingswood, Aylesbury, Bucks, United Kingdom, HP18 0RA.

If you have any questions about this Privacy Notice or about how your personal information is processed, you can contact us at mary@birdglobal.co.

Who is responsible for your personal information

Place Newsroom is used by place, destination and business organisations ("subscribing organisations") to collect, produce and manage editorial, marketing and communications content. The role Bird and the subscribing organisation each have under data protection law depends on the particular processing involved.

For editorial submissions, the subscribing organisation will ordinarily determine the purpose for which the submission is collected and used — for example, deciding whether and how to turn a submission into a published story — while Bird processes information to provide and operate Place Newsroom.

Bird may separately act as controller where it processes information for its own service administration, security or legal obligations.

The respective responsibilities of Bird and a subscribing organisation may also be set out in separate contractual or data-processing terms between them.

Information we process

Contributor information. If you submit a story through a subscribing organisation's public submission page, we process your name, email address, business or organisation name, story information (such as a headline or press release date), any documents you provide (press releases and supporting documents), any images you provide, and any personal information contained within those materials — for example, names, contact details or images of people mentioned or shown in what you submit.

Editor and user information. For people who use Place Newsroom on behalf of a subscribing organisation, we process email address and account information, organisation membership and access records, configuration and editorial preferences (for example, Place Profile settings), and relevant editorial or service activity — such as content created, edited, approved or published through the service.

Operational information. We process information reasonably required to authenticate users, secure the service and troubleshoot problems, including sign-in and session information and technical logs generated in the course of operating the service.

We do not currently use analytics, tracking or profiling technology to monitor how people use Place Newsroom.

What we use it for

  • receiving and managing story submissions;
  • managing editorial material submitted or created through the service;
  • generating AI-assisted draft editorial content from submitted material (see "How we use artificial intelligence" below);
  • operating editorial and newsroom workflows — review, approval and publishing;
  • authenticating users and administering accounts;
  • sending service-related notifications — for example, telling an organisation's editorial team that a new story is ready for review;
  • maintaining the security of the service;
  • troubleshooting and maintaining the service;
  • general service administration; and
  • complying with our legal and regulatory obligations.

How we use artificial intelligence

Place Newsroom uses artificial intelligence technology to help transform material submitted through the service into draft editorial outputs. These may include website articles and summaries, social media content, newsletter content, image descriptions and captions, and related editorial material.

AI-generated output is draft material. It may contain errors, omissions or inaccuracies, and is intended to be reviewed by a human editor at the subscribing organisation before it is approved or published.

Under the current design of Place Newsroom, the name and email address you provide as a submitter are not deliberately included in the information sent to our AI processing provider simply because you are the person submitting the material. However, the documents and images you upload may themselves contain personal information — for example, names, contact details, quotations or images of people — and that material may be processed by our AI processing provider in order to generate the draft outputs described above.

We currently use OpenAI to provide AI processing functionality. We have not made, and this notice should not be read as making, any representation about how OpenAI trains its own models, how long OpenAI retains information it processes, or where that processing takes place. If you would like more information about our use of AI processing providers, you can contact us using the details above.

Our lawful basis for processing

The lawful basis we or a subscribing organisation rely on for processing personal information depends on the specific processing activity and who is acting as controller for it. Depending on the circumstances, this may include:

  • legitimate interests — for example, our own legitimate interest in operating, securing and improving Place Newsroom, or a subscribing organisation's legitimate interest in receiving and publishing local news, business or destination-related content;
  • performance of a contract — for example, where processing is necessary to provide the service to a subscribing organisation or its authorised users;
  • compliance with a legal obligation; and
  • consent, in the limited circumstances where consent is genuinely the appropriate basis.

Where you submit material through Place Newsroom's public submission form, you are asked to confirm that you are authorised to submit that material and that you hold the necessary rights and permissions for it. That confirmation is a warranty about your authority over the content you are submitting — it is not, and should not be treated as, your consent under data protection law to any particular processing activity. A subscribing organisation may have its own lawful basis for collecting and using contributor information for its editorial or publicity purposes, and you may wish to contact that organisation directly for more information about how it uses your submission.

Who we share information with

Depending on the circumstances, recipients of personal information processed through Place Newsroom may include:

  • the subscribing place or destination organisation to which material was submitted, and its authorised editors and users;
  • Bird personnel and contractors who need access to operate and support the service;
  • our service providers, including Supabase (database, authentication and file storage), OpenAI (AI processing), Resend (email delivery) and Vercel (application hosting);
  • professional advisers, such as our lawyers, accountants or insurers, where reasonably necessary; and
  • regulators, law enforcement or other authorities, where we are required to do so by law.

We do not sell personal information.

International transfers

Some of the service providers listed above may process personal information outside the United Kingdom. Where UK data protection law requires appropriate safeguards for such transfers, we expect appropriate mechanisms to be used, such as the UK's international data transfer provisions. If you would like more information about the safeguards that apply to a particular transfer, please contact us using the details above.

How long we keep information

We retain personal information for as long as reasonably necessary, taking into account the purpose for which it was collected, how the service is used and configured by the relevant subscribing organisation, any contractual arrangements between Bird and that organisation, our own security and troubleshooting needs, and any applicable legal or regulatory requirements.

Some editorial material — including submissions, generated content and related records — may continue to exist until it is deleted by an authorised user of the relevant organisation, or otherwise removed in accordance with the service arrangements in place at the time. We do not currently promise a fixed retention period or automatic deletion at a specific point in time for all categories of information.

Security

We use appropriate technical and organisational measures designed to protect personal information processed through Place Newsroom. Depending on the type of information, these may include restricting access to authenticated users of the relevant organisation, access controls that keep one organisation's information separate from another's, private (non-public) file storage, and time-limited signed links for accessing uploaded files.

No method of storing or transmitting information is completely secure, and we cannot guarantee the absolute security of personal information.

Your rights

Subject to applicable law and the circumstances of the particular processing activity, you may have the right to:

  • request access to personal information we or a subscribing organisation hold about you;
  • request that inaccurate information be corrected;
  • request that information be erased in certain circumstances;
  • request that processing be restricted in certain circumstances;
  • object to processing carried out on the basis of legitimate interests;
  • request portability of information you have provided, where technically feasible; and
  • withdraw consent, where consent is the basis being relied on for a particular activity.

Whether and how these rights apply depends on the circumstances, including who is acting as controller for the relevant information. Where you submitted material to a subscribing organisation, that organisation will ordinarily be best placed to deal with your request, since it will usually determine how and why your submission is used editorially — you may wish to contact that organisation directly. You can also contact Bird at mary@birdglobal.co, and we will help direct your request appropriately.

Complaints

If you are not satisfied with how your personal information has been handled, you have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk.

Changes to this notice

We may update this Privacy Notice from time to time, for example to reflect changes to Place Newsroom or to applicable law. We will update the "Last updated" date at the top of this page when we do.
